Job Summary:
We are seeking a highly organized and proactive Executive Assistant (EA) to the CEO at
our factory location in Noida. The EA will be responsible for providing high-level
administrative and strategic support to the CEO, ensuring efficient management of schedules,
communication, and operational tasks. This role requires a detail-oriented professional with
excellent communication skills and the ability to handle confidential information with
discretion.

Profile of an EA:
Work Experience:
• Should have 3-5 years of experience as an assistant or secretary to the MD of a
company.
• An office coordinator with steady experience in admin and coordination can also
be considered.
Educational Qualification:
• Should have graduated from a secretarial college.
Skill Set Required:
• EXCELLENT FOLLOW-UP SKILLS – This is the most important requirement.
Do not hire without this skill, as all other skills can be trained.
• Strong working knowledge of MS Office, especially Excel & Word.
• Good command over English.
• Shorthand knowledge is a plus.
Other Requirements:
• Should live within 45 minutes of travel time from the office.
• Job stability is a must—should not be someone who frequently changes jobs.
• Honest and trustworthy.
• Should be open to handling personal tasks for the CEO.

Key Responsibilities:
Administrative & Executive Support:
• Manage and coordinate the CEO’s calendar, meetings, and appointments.
• Prepare reports, presentations, and correspondence on behalf of the CEO.
• Handle confidential documents and maintain data security.
• Manage travel arrangements, accommodations, and logistics for the CEO.
• Draft emails, letters, and other business communications.
Operational & Business Support:
• Assist in factory operations by coordinating with department heads and ensuring
smooth communication.
• Monitor and follow up on key tasks and deadlines assigned by the CEO.
• Maintain records of operational performance and prepare periodic reports.
• Act as a bridge between the CEO and various internal/external stakeholders.
Meetings & Coordination:
• Schedule, organize, and take minutes of executive meetings.
• Track action points and ensure timely completion.
• Liaise with vendors, clients, and partners as needed.
Special Projects & Strategic Assistance:
• Support the CEO in decision-making by conducting research and data analysis.
• Assist in policy formulation and implementation for the factory.
• Handle ad hoc projects as assigned.
