Position Summary:
The Veterinary Hospital Supervisor is responsible for overseeing the daily operations of the
veterinary hospital, ensuring the delivery of high-quality patient care, efficient clinic
operations, and the well-being of staff members. This role combines management
responsibilities with hands-on involvement in veterinary practices, assisting in patient care
when necessary, and coordinating the smooth functioning of various hospital departments.
Key Responsibilities:
1. Staff Management and Training:
•
Supervise and lead a team of veterinary technicians, nurses, receptionists, and support
staff.
•
Develop and implement training programs to enhance staff skills and ensure proper
medical practices, safety protocols, and customer service.
•
Conduct regular performance evaluations, provide constructive feedback, and foster a
positive work environment.
•
Coordinate staff schedules to ensure proper coverage during peak hours and
emergencies.
•
Oversee recruitment, onboarding, and orientation for new staff members.
2. Operations and Facility Management:
•
Ensure the hospital’s clinical operations are running smoothly, including patient flow,
diagnostic testing, surgical procedures, and treatment plans.
•
Monitor and manage inventory of medical supplies, pharmaceuticals, and equipment,
and ensure proper maintenance and sanitation standards.
•
Enforce hospital protocols for sterilization, waste disposal, and safety procedures in
compliance with regulatory standards.
•
Collaborate with the management team to create and update operational policies and
procedures.
3. Customer Service and Client Relations:
•
Ensure that clients receive excellent customer service and that all communication is
clear, compassionate, and professional.
•
Address client concerns or complaints promptly and professionally, resolving issues
to maintain client satisfaction.
•
Assist clients with billing inquiries, treatment plans, and other aspects of their pets'
care.
•
Promote hospital services, including preventive care, special treatments, and wellness
programs, to current and prospective clients.
4. Financial Management:
•
Help manage the budget for day-to-day operations and assist in identifying costsaving
opportunities without compromising patient care.
•
Assist with billing processes, ensuring accurate charges for services rendered and
timely invoicing.
•
Ensure compliance with billing procedures, insurance claims, and other financial
protocols.
5. Collaboration with Veterinarians and Management:
•
Work closely with veterinarians and other medical staff to ensure optimal patient care
and efficient hospital operations.
•
Assist in the development and implementation of new services or initiatives aimed at
improving patient care or hospital efficiency.
•
Help plan and organize hospital events, client education programs, and community
outreach efforts.
6. Emergency Response and Crisis Management:
•
Oversee emergency care and procedures, ensuring that staff are well-prepared and that
clients are informed and supported.
•
Respond to urgent or critical situations, both clinical and operational, and make
decisions to mitigate risk and maintain hospital functionality.
7. Regulatory Compliance and Safety:
•
Ensure the hospital adheres to all relevant local, state, and federal laws, including
health regulations, safety standards, and veterinary practice requirements.
•
Stay up-to-date with industry trends, technological advances, and regulatory changes
to maintain hospital standards.
8. Pharmacy Management:
•
Oversee the day-to-day operation of the veterinary pharmacy, ensuring accurate
dispensing of medications to clients.
•
Maintain and audit pharmaceutical inventory to ensure stock levels of essential
medications are adequate and medications are within their expiration dates.
•
Ensure controlled substances are stored and documented per legal and regulatory
requirements, and that appropriate logs are maintained.
•
Work with veterinarians to recommend, prescribe, and dispense appropriate
medications for patient treatments.
•
Ensure that pharmaceutical practices comply with veterinary medical guidelines and
pharmacy laws.
•
Educate clients on the proper use and side effects of prescribed medications, including
dosage, administration methods, and safety precautions.
Qualifications:
Education:
•
High school diploma or equivalent (required).
•
Associate's or Bachelor’s degree in a related field (preferred).
•
Certification as a veterinary technician (LVT, RVT, or CVT) is highly desirable but
not required.
Experience:
•
Minimum of 3-5 years of experience in a veterinary hospital or clinic, with at least 2
years in a supervisory or leadership role.
•
Proven experience in managing staff, operations, and customer relations in a
healthcare setting.
•
Familiarity with veterinary medical terminology, treatment protocols, and clinical
procedures.
Skills and Competencies:
•
Strong leadership, organizational, and problem-solving skills.
•
Excellent communication and interpersonal skills, with the ability to interact
professionally with clients, staff, and management.
•
Ability to manage multiple tasks and priorities effectively in a fast-paced
environment.
•
Knowledge of veterinary medical equipment and technologies.
•
Proficiency with practice management software, electronic medical records (EMR),
and other relevant software.
•
Ability to work under pressure and in emergency situations while maintaining
professionalism and composure.
Physical Requirements:
•
Ability to stand, walk, and move around the facility for extended periods.
•
Ability to lift and carry up to 50 pounds.
•
Ability to handle animals safely and with care, including assisting with the restraint of
animals when necessary.
•
Exposure to potentially hazardous materials, medical waste, and animal-related risks.
Working Conditions:
•
Fast-paced, dynamic work environment with the need to balance administrative tasks
and direct interaction with animals and clients.
•
Occasional evenings, weekends, or holiday shifts, depending on hospital scheduling
needs.
•
Interaction with animals, potentially including sick, injured, or aggressive animals.
